Omnia Optimizes the Lifecycle Management of Over 10,000 IT Devices with IDR Asset

Omnia is one of the largest educational institutions in Finland and manages a very large IT environment with over 10,000 devices. Previously, Omnia’s asset management relied mainly on manual entries, which often led to outdated information. The earlier system was also disconnected from the procurement and EOL processes, resulting in unnecessary extra work.

Omnia’s goal was to find a new solution that would centralize all IT asset data and automate the lifecycle management processes of IT assets.

A modern and versatile asset management solution

Omnia chose IDR as its new IT asset management solution due to its extensive automation capabilities and ease of use. IDR brings together procurement, asset management, and EOL. Through integrations, financing companies, UEM, and ITSM systems become better incorporated into asset management.

Automated processes and fewer errors

Thanks to IDR, manual processes are largely automated and potential data errors eliminated. At the same time, the manual workload for IT team is reduced, as device information no longer needs to be searched from multiple sources. With IDR smart tags, device data can be retrieved on a smartphone with a simple tap, and device transfers happen without human error.

With IDR it is easy to see a list of all devices that haven’t been seen online or inventoried via the smart tag. In addition, user-defined automatic alerts help identify unused devices without manual effort.

Ecosystem that centralizes asset management

Through integrations, device suppliers, financing companies, and recycling partners are more closely connected to IT processes. In the future, devices will be registered automatically during the procurement phase by the supplier, leasing details will be directly available in the asset register, and secure data wiping can be done via IDR through an integrated recycling partner. Certificates are also stored automatically in IDR for audit purposes.

IDR also integrates excellently with various endpoint management systems, including Microsoft Intune. Now, device data is automatically updated during use (e.g., last login time, last user, and compliance status). IDR also enables the use of the Intune Autoclean feature, as removing a device from Intune does not delete it from the asset register. Now the asset information remains stored until it’s recycled. If the device is reused, data starts updating again automatically between IDR and Intune.
