How to improve employee offboarding with IT asset management software
When an employee leaves the company, IT teams have many important tasks to complete. One of these tasks is making sure all company devices are returned in time. It sounds simple, but it is not uncommon for employees to forget some devices or return them late.
Without the right IT asset management tools, you may spend unnecessary time looking for missing devices. Offboarding is also a stage that can cause your asset data to become outdated if the process is handled manually.
First benefit: ensuring all devices are returned
As mentioned earlier, one of the key tasks is making sure all devices are returned. To do this, you first need accurate information about which devices the employee has and where they are. On average employees have 2 to 5 different devices, as some also have extra equipment like monitors, docking stations, headsets, or even older devices that were never returned. Without an up-to-date asset inventory, some items can easily be forgotten by the employee and/or IT.
If you have proper ITAM software in use, IT teams can see all devices assigned to the employee in real time. When the offboarding process starts, the system can send automatic reminders and clear instructions to the employee, the manager, and even the IT team. If a device is not returned, the system continues to send reminders until everything is collected. This alone reduces the need for manual follow-ups and helps ensure that no device is forgotten.
By automating reminders, your IT team can focus on more valuable work instead of back-and-forth emails with the employee. It’s also good to remember that with both owned and leased devices, returning them late can lead to extra costs for the organization.
Second benefit: keeping asset data accurate for the future
From an IT asset management point of view, a good offboarding process does more than collect devices. It also helps keep your asset data clean and accurate. If you use barcodes or NFC smart stickers, the inventory process for returned devices is also very fast.
When ITAM software is part of the offboarding process, every action, such as returning a device, reassigning it, moving it to storage, or disposing of it, is saved in the system. This helps keep the inventory accurate and trustworthy.
Third benefit: improved data security
From a data security standpoint, it’s also critical that no devices are left uncollected or end up in unintended use, such as with an employee’s family.
Uncontrolled devices increase the risk of data leakage and can violate internal security policies. A well-documented and transparent offboarding process also supports ISO 27001 requirements, where controlled asset handling and verifiable processes are essential during audits.
Bonus: better end-of-life processes
Once the devices are back with IT, there are still a few extra tasks to be handled. The first step is to securely wipe each device so that no data remains. Once that is done, the device’s condition and lifecycle stage determine what happens next. Devices that are no longer needed can be resold or recycled, while newer devices can be reassigned to incoming employees.
If the offboarding process is supported with ITAM software, you always have up-to-date information on which devices are ready for reassignment, which ones should be resold, and which will go to traditional recycling. The system also maintains complete records for audits, compliance needs, and environmental reporting.
ITAM software makes offboarding easier and hassle-free
With IT asset management software, offboarding becomes a faster and repeatable process. Devices are collected on time, end-of-life steps are clear, and asset data stays accurate. IT teams no longer need to search for information because they have real-time visibility and automated workflows.
